Northmark Vault Tech Work Authorization Agreement

Consultation & Submission Requirements

A consultation is required for all airsoft replicas submitted for service. Queue times and estimated turnaround times may be provided but are broad estimates only and are subject to change at any time due to workload, troubleshooting complexity, supplier delays, or unforeseen project complications.

Replicas mailed in without prior approval and without the required initial deposit may be denied and returned to the sender at the customer’s expense.

Northmark Vault LLC reserves the right to deny any project or service request for any reason.

Customers submitting replicas for service must be at least 18 years of age or have authorization from a parent or legal guardian.

By submitting a replica for service, the customer acknowledges and accepts all terms listed within this agreement.

Deposits & Initial Payment Requirements

For basic tune-up services such as:

shimming,
cleaning,
inspections,
minor repairs,
or similar work,

a non-refundable $40 initial deposit is required before work can begin.

For full builds, gearbox rebuilds, advanced tuning, custom wiring, brushless installations, HPA integration, extensive troubleshooting, or any major performance-oriented work, a non-refundable $250 initial deposit is required before work may begin.

All deposits, labor fees, diagnostic fees, parts orders, shipping charges, and special-order items are non-refundable.

Once work, disassembly, modification, tuning, fabrication, installation, or parts ordering has begun on a project, the service may not be cancelled.

Diagnostic and troubleshooting labor may still be billed regardless of whether the replica is repairable, completed, or approved for continued work.

Estimates & Billing

Every tech work submission will begin with a consultation and an estimated price range will be provided to the customer.

Final invoices may exceed the initial estimate due to:

additional labor,
replacement parts,
damaged or failed components,
compatibility issues,
testing failures,
or additional modifications discovered during the build process.

If the estimated total changes significantly, the customer will be contacted and an updated estimate will be provided whenever possible before additional work proceeds.

All installed parts and components will be billed at MSRP pricing or current retail pricing listed on Northmark Vault.

Standard labor is billed at a rate of $40/hour. Certain specialized modifications, advanced tuning, fabrication work, machining, precision fitting, custom wiring, or uncommon projects may require additional labor charges.

Shop consumables including but not limited to:

wiring,
connectors,
solder,
grease,
lubricants,
shims,
adhesives,
threadlocker,
heat shrink,
cleaning supplies,
and miscellaneous materials

may be added to the final invoice as required.

Total: $139.98

A 3.9% processing fee will be added to all electronic payments unless otherwise specified. Cash payments are exempt from processing fees.

Fees, labor rates, pricing, taxes, and policies are subject to change without notice.

Parts, Components & Compatibility

Customer-supplied parts are installed entirely at the customer’s own risk and are NOT covered under warranty.

Customer-supplied components may be:

worn,
defective,
improperly manufactured,
counterfeit,
previously modified,
damaged,
or out-of-spec.

Northmark Vault LLC is not responsible for failures, compatibility issues, premature wear, or performance problems related to customer-supplied parts.

Any parts or components that fail, crack, strip, wear, or become damaged during:

testing,
tuning,
disassembly,
assembly,
fitting,
modification,
or installation

may be added to the customer’s final invoice.

Many replicas submitted for service involve:

rare,
discontinued,
imported,
heavily customized,
proprietary,
fragile,
or uncommon components.

These items may require:

filing,
sanding,
drilling,
trimming,
shimming,
fitting,
permanent modification,
or external adjustment

to achieve compatibility.

Minor cosmetic wear may occur during normal installation and fitting procedures.

Northmark Vault LLC is not responsible for pre-existing damage discovered during:

disassembly,
inspection,
tuning,
or testing.

This includes but is not limited to:

cracked components,
stripped screws,
damaged threads,
worn internals,
corrosion,
poor prior workmanship,
or hidden internal damage.

Once parts have been ordered, installed, modified, or allocated to a project, associated charges may not be refunded regardless of project cancellation or completion status.

Certain modifications or installations performed by Northmark Vault LLC may void manufacturer warranties provided by the original replica or component manufacturer.

Testing & Performance Disclaimer

By submitting a replica for service, the customer authorizes Northmark Vault LLC to:

test fire,
chrono,
function test,
and evaluate

the replica as necessary during the diagnostic, tuning, and build process.

Airsoft replica performance may vary due to:

environmental conditions,
BB quality,
BB weight,
battery condition,
magazine compatibility,
hop-up setup,
air seal consistency,
replica tolerances,
and other external variables.

Northmark Vault LLC does not guarantee specific:

FPS,
accuracy,
consistency,
range,
trigger response,
sound signature,
rate of fire,
or overall performance metrics

unless explicitly stated in writing.

Northmark Vault LLC does not guarantee compliance with specific field FPS, joule, MED, or event regulations unless explicitly requested and confirmed in writing by the customer.

Warranty Policy

All airsoft tech work performed by Northmark Vault LLC includes a 30-day workmanship warranty unless otherwise specified in writing.

This warranty applies ONLY to labor and installation quality performed by Northmark Vault LLC.

Installed parts, replacement components, consumables, and customer-supplied items are NOT covered under warrantyunless explicitly specified otherwise.

Warranty claims may be denied if user error, misuse, abuse, unauthorized disassembly, poor-quality BB usage, improper batteries, incorrect chargers, water exposure, neglect, improper maintenance, or unauthorized modification is suspected.

Only high-quality BBs and properly configured batteries/chargers should be used with replicas serviced by Northmark Vault LLC.

Northmark Vault LLC reserves the right to determine warranty eligibility on a case-by-case basis.

Warranty-related shipping costs are the responsibility of the customer unless otherwise specified by Northmark Vault LLC.

Electrical & Battery Safety

Improper battery usage, poor charging practices, incorrect voltage, damaged wiring, reverse polarity, water exposure, connector misuse, or improper charger usage may result in:

electrical failure,
component damage,
fire hazards,
or catastrophic system failure.

Customers are solely responsible for using appropriate:

batteries,
chargers,
connectors,
and electrical equipment

with their replica.

Airsoft replicas serviced or modified by Northmark Vault LLC are not guaranteed to be waterproof or water resistant unless explicitly stated otherwise in writing.

Shipping Policy

All shipping costs related to:

incoming replicas,
return shipping,
replacement parts,
special-order components,
warranty claims,
and associated logistics

are the responsibility of the customer unless otherwise agreed upon in writing.

Northmark Vault LLC is not responsible for shipping carrier delays, loss, theft, mishandling, customs delays, or shipping-related damage once packages have been transferred to the shipping carrier.

Queue Times & Delays

Estimated queue times and turnaround estimates are broad estimates only and are subject to change at any time.

Northmark Vault LLC is not responsible for delays caused by:

supplier shortages,
shipping delays,
customs delays,
weather events,
illness,
carrier disruptions,
equipment failure,
natural disasters,
or circumstances outside of reasonable operational control.

Storage Fees & Abandoned Property

Customers will have a 30-day grace period from invoice completion to pay all outstanding balances including shipping costs.

After 30 days, a $10.00 per day storage fee will be added to the outstanding balance.

After 60 days without payment or communication, the replica, parts, accessories, and associated property will be considered abandoned and ownership will be forfeited to Northmark Vault LLC.

Northmark Vault LLC will make reasonable attempts to contact the customer before abandonment procedures occur. Customers are responsible for providing accurate and current contact information.

Liability & Legal Compliance

Airsoft replicas are mechanical devices subject to:

wear,
stress,
tolerance variation,
electrical failure,
mechanical failure,
and component breakage during normal operation and testing.

Northmark Vault LLC is not responsible for:

mechanical failures,
electrical failures,
cracked components,
stripped hardware,
damaged externals,
compression loss,
gearbox failure,
MOSFET failure,
or structural failures

resulting from:

age,
wear,
stress,
manufacturing tolerances,
aftermarket compatibility issues,
prior modifications,
or normal operation of the replica.

Customers assume full responsibility for:

legal compliance,
FPS limits,
transportation laws,
replica markings,
field regulations,
and safe operation of their airsoft replica.

Northmark Vault LLC shall not be held liable for:

injuries,
damages,
misuse,
negligence,
legal violations,
or claims

resulting from the ownership, modification, transportation, or operation of airsoft replicas serviced by Northmark Vault LLC.

Discounts & Promotions

No discounts, sponsorship discounts, dealer pricing, team pricing, promotional pricing, or coupon codes apply to airsoft tech services unless explicitly approved in writing by Northmark Vault LLC.

Customer Acknowledgement & Agreement

By signing and submitting this Tech Work Submission Form, I acknowledge that I have read, understood, and agreed to all terms, conditions, policies, warranties, liability disclaimers, payment terms, cancellation policies, storage policies, and service conditions outlined within the Northmark Vault Work Authorization & Service Agreement.

I authorize Northmark Vault LLC to perform diagnostic work, testing, modifications, repairs, tuning, installations, and related services on my airsoft replica as discussed during consultation and submission.

I understand and acknowledge that airsoft replicas are mechanical and electrical devices subject to wear, stress, tolerance variation, incompatibility, and potential component failure during normal operation, testing, tuning, disassembly, assembly, and modification.

I understand that estimates provided are approximate and final invoices may exceed the initial estimate due to additional labor, replacement parts, compatibility issues, troubleshooting, testing failures, or additional required modifications discovered during the build process.

I understand and agree that all deposits, labor charges, service fees, diagnostic fees, parts orders, shipping charges, and special-order items are non-refundable.

I acknowledge that customer-supplied parts are installed entirely at my own risk and are not covered under warrantyunless otherwise specified in writing.

I understand that failure to pay outstanding invoices within the stated time period may result in storage fees and eventual forfeiture of abandoned property to Northmark Vault LLC.

I acknowledge and agree that Northmark Vault LLC shall not be held liable for damages, failures, injuries, misuse, legal violations, shipping issues, or claims arising from the ownership, modification, transportation, testing, or operation of my airsoft replica.

By signing below, I confirm that I am at least 18 years of age or have authorization from a parent or legal guardian and am legally authorized to submit this replica for service.
